JOB SUMMARY:

We are looking for a skilled and courteous individual to join our team as a PBX Agent. As a PBX Agent, you will serve as the main point of contact for all incoming and outgoing calls at our hotel. Your primary responsibility will be to efficiently and professionally handle phone calls, transfer calls to appropriate departments, take messages, and provide information to guests. You will play a crucial role in ensuring effective communication within the hotel and delivering exceptional customer service to our guests.

ESSENTIAL JOB RESPONSIBILITIES

  • Answer all incoming calls promptly and courteously, following established greeting standards
  • Handle guest inquiries, requests, and complaints in a professional and timely manner, providing accurate information and appropriate solutions
  • Transfer incoming calls to the appropriate departments or individuals as requested
  • Take and deliver messages accurately and promptly to the intended recipients
  • Assist guests with making local and long-distance calls, as well as placing international calls, ensuring proper billing procedures are followed
  • Update and maintain the hotel’s phone directory, ensuring accuracy and making regular additions or modifications as required
  • Provide wake-up call services to guests and ensure timely and accurate delivery
  • Assist with administrative tasks, such as photocopying, faxing, and distributing documents as needed
  • Collaborate with other hotel staff members to ensure a seamless guest experience and effective communication flow

REQUIRED QUALIFICATIONS

  • High school diploma or equivalent
  • Previous experience as a PBX Operator or in a customer service role is preferred
  • Excellent verbal and written communication skills, with a professional and pleasant phone demeanor
  • Strong interpersonal skills and the ability to handle guest inquiries, requests, and complaints with patience and empathy
  • Proficiency in operating multi-line phone systems and familiarity with PBX equipment and software
  • Exceptional organizational and multitasking abilities, with the capacity to handle multiple calls and tasks simultaneously
  • Basic computer skills, including familiarity with email, internet browsing, and office software applications
  • Strong problem-solving skills and the ability to remain calm and composed in stressful situations
